Model & Site Services Associate

General Description

Centering Healthcare Institute (“CHI”) is a non-profit organization that collaborates with healthcare providers across all sectors to transform healthcare. Our mission is to improve health, transform care, and disrupt inequitable systems through the Centering group model. We empower patients, strengthen patient-provider relationships, and build communities through three main components: health assessment, interactive learning, and community building.

We are dedicated to creating a future where the risk of preterm birth, the inequities faced by Black women in pregnancy-related outcomes, and the disparities in early childhood are significantly reduced—ensuring that every child has the potential to enjoy better life chances, social and economic opportunities, and overall well-being. With over two decades of experience as the leading resource for group care, we have developed and sustained the Centering model in nearly 500 practice sites and some of the largest health systems in the world.

As an integral part of the Programs team, the Model & Site Services Associate position provides administrative and operational support to Program leadership, including 1-3 senior leadership staff. The Model & Site Services Associate serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Programs office at CHI. The Model & Site Services Associate must be creative and enjoy working within a fast-paced and mission-driven organization. They will bring strong skills in preparing and running meetings, supporting multiple projects simultaneously and monitoring deadlines. They will be highly organized, paying close attention to detail. The ideal individual will have the ability to exercise good judgment in a variety of situations with strong written and verbal communication. Model & Site Services Associate Key Responsibilities

Leadership Support

  • Support Model & Site leaders with all administrative needs, including meeting notes, travel arrangements, payment procedures (PAFs, expense reporting), action items

  • Manages calendars for one leader, including internal and external constituents, strategic partners and vendors, and others in partnership with applicable projects or deliverables.

  • Works closely and effectively with the Model & Site leaders to keep them well-informed of upcoming commitments and responsibilities, following up appropriately

  • Plans, coordinates, and ensures the Model & Site leaders’ schedules are in alignment with the leader's priorities and commitments

  • Works with program team leaders to provide administrative support on projects and priorities

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Model & Site; determines appropriate course of referral or response

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting communications and other tasks that facilitate the Model & Site leaders’ ability to advance their work and key priorities effectively

  • Coordinates data requests and analysis with internal partners so Model & Site leaders have adequate information to inform key business decisions

  • Manage assigned projects within the Model & Site and cross-departmentally to advance key initiatives

  • Plan and execute offsite meetings for Model & Site leadership, departments, and teams

  • Prepare departmental communications and memos; report on key departmental metrics, priorities, and progress; support internal and external correspondence

  • Coordinate and compile inputs from team members and departmental reports for staff meeting updates, board reports, and other organization-wide communications

  • Organize and maintain the department’s electronic filing system by managing shared files and ensuring individuals can access resources and files needed for their work – including standard operating procedures, external facing resources, departmental work plans, etc.

  • Assist with additional duties and projects as assigned

Reporting Structure and Key Relationships

This position reports to the Vice President of Model & Site Services

Qualification and Requirements

Experience:

  • Continuous professional development and staying informed to ensure the organization operates within legal frameworks and is consistent with the best practices in the field are required.

  • Must be flexible, a good teammate, able to jump in as needed, and manage multiple projects and priorities simultaneously

  • Strong project management and time management skills with the proven ability to meet deadlines

  • Strong verbal and written communication skills; confidence in interacting with vendors, clients, and internal teams

  • Experience working with diverse populations, diverse leadership styles, and diverse content areas

  • Strong computer and PowerPoint skills; able to learn new IT platforms and tools quickly and effectively use them in work processes

  • Familiarity with Salesforce is a plus

  • Curious, positive attitude focused on learning and continuous improvement

Skills:

  • Outstanding interpersonal, teamwork, and collaboration skills;

  • Exceptional written and verbal communication skills;

  • Excellent organizational skills and attention to detail;

  • Proficient in Microsoft Office and project management software (Asana or equivalent);

  • Demonstrated ability to maintain the highest ethical standards, including confidentiality and handling sensitive situations and information with the utmost discretion and diplomacy.

Working Conditions

The Model & Site Services Associate operates in a remote office-like environment. While adhering to a standard full-time work schedule, working irregular hours may be necessary. We prioritize adaptability, iterative approaches, and cross-functional collaboration, fostering a culture of continuous improvement and innovation.

Communication: Regular check-ins via [communication tools, e.g., Slack, Zoom, email] are required to maintain alignment, productivity and collaboration.

Productivity: Must be able to meet deadlines and deliver high-quality work without direct supervision. This utilizes standard office equipment such as computers, phones, photocopiers, and audiovisual systems

Travel: Travel to various locations may be expected to attend conferences, staff meetings and retreats, and any other relevant event.

Compensation and Benefits

The salary range for the Model & Site Services Associate role is $55,000-72,000, based on the qualifications and years of relevant experience the selected candidate brings.

Vaccination Requirements

As a condition of employment, each candidate selected for employment will be required to have received at least one dose of a COVID-19 vaccination prior to the selected candidate’s start date with the Company and be fully vaccinated (as that term may be defined by the CDC) within 30 days from that date, unless approved for an exemption.
