Job Summary

Application and Monitoring Associate at CHANCEN International Rwanda, the primary responsibility will be the students' welfare from the start of their classes until they graduate. This is to better prepare them for the repayment phase.

During the Application Phase will be responsible to conduct different workshops, and guardians/guarantors’ meetings, helping the applicants and guardians to sign their contracts with CHANCEN, and properly recording their information into a database used by the CHANCEN

Key Responsibilities

  • Facilitate ISA introduction workshops and guardian meetings, presenting to large diverse audiences with confidence and professionalism.

  • Develop and refine content for the workshop with applicants, guardians and members, ensuring materials are informative, clear and meet the needs of each audience to the purpose of activity

  • Translating documents from English to Kinyarwanda or vice versa whenever necessary, ensuring accuracy and clarity.

  • Conducting the ISA contract signing process between CHANCEN and the Applicants using the platforms provided, ensuring smooth operations and compliance with required procedures.

  • Conducting the signing process between CHANCEN and guardians/guarantors, ensuring that the process is efficient and completed on time.

  • Implement various departmental and portfolio related activities, managing timelines and resources effectively to ensure all activities are carried out as needed and engaging partner education institutions when required.

  • Files Applicants and Guardians documents in confirmed file management procedures and CHANCEN Systems.

  • Proactively address and manage cases of members who have breached CHANCEN’s rules or values, taking ownership of the resolution process by making informed decisions, and escalate complex issues when necessary to ensure effective resolution and adherence to CHANCEN’s standards.

  • Provide direct support to students regarding academic concerns, offering guidance and assistance in resolving challenges related to their studies

  • Plan and execute students monitoring activities by ensuring relevance, engaging and providing opportunities for reflection and feedback.

  • Manage the commitment fee calendar, ensuring adherence to deadlines by proactively maintaining follow up, addressing delays and escalating cases when necessary.

  • Implement member behavior monitoring procedures and ensure that all cases related to policy, value and/or requirements breach are addressed in the right time.

  • Conduct regular campus visits and monthly check-in calls to assist members with queries and/or concerns, track their progress and provide necessary support.

  • Recording and handling inquiries and clarifications via all departmental communication channels, ensuring responses are clear, professional and timely while directing communication to appropriate staff if need to resolve it directly.

  • Complete day-to-day tasks and projects assigned to you by your supervisor, ensuring all tasks are executed efficiently and in line with department goals.

  • Collaborate with various departments, provide necessary support and contribute to collaborative efforts across the organization.

  • Review and ensure the accuracy, consistency and compliance of relevant documents before they are used and/or shared with stakeholders, with alignment with CHANCEN’s guidelines and standards.

  • Provide timely updates including monthly, quarterly and activity-based on members and portfolio reports, keeping stakeholders informed and ensuring accurate tracking of members progress and statuses.

  • Ensure that all communication regarding the tasks status, projects and/or duties is clearly communicated to relevant stakeholders, with appropriate follow-ups when necessary to confirm resolution.

  • Ensure all tasks and responsibilities assigned by the supervisor are completed on time, with a high level of accuracy and professionalism.


Requirements

Education & Qualifications

  • Minimum Diploma in Business Management, Economics, Statistics, International Relations, Sociology, Education or any other field relevant to monitoring and evaluation

  • At least two years of working experience in related fields

  • Ability to conduct workshops,run the presentation effectively to the large audiences, set & creating the strategies for conducting the cited activities

  • Sharp and able to communicate and express effectively to different audiences in both English and Kinyarwanda.

  • Ability to handle people effectively and confidently with empathy, understanding, and a helping spirit.

  • Interpersonal skills

  • Problem-solving skills

  • Paying attention to details, very organized and critical thinker

  • High level of integrity/confidentiality and ability to work as part of a professional team

  • Computer Literacy, especially excellent MS Excel, Word and Powerpoint Presentation skills/ Google suite.

  • Good oral and written communication skills; Fluency in spoken and written for both English and Kinyarwanda

  • Willingness and commitment to learn, work and adapt to CHANCEN’s organizational culture
