The Opportunity
The Special Assistant to the C-Suite will serve as a force multiplier for CommonLit’s senior leadership team. This role is designed for someone who thrives on bringing structure, clarity, and momentum to fast-moving, high-stakes priorities. The ideal candidate is a strong project manager and trusted liaison who combines exceptional execution with discretion and judgment.
You’ll split your time between serving as Executive Assistant to the CEO (50%) and managing strategic projects across the C-Suite (50%). In this dual capacity, you’ll help drive critical organizational initiatives and create the operational leverage that allows the executive office to focus on the organization’s most important work.
You will be instrumental in consolidating feedback from team interactions and turning these insights into actionable improvements and effective communication within the organization. You will act as a vital link within the team and across the broader organization, providing reliable support and execution for the C-Suite.

Roles and Responsibilities
1. Executive Support to the CEO (50%)
-Provide daily, high-level administrative support to the CEO, including complex calendar management, email correspondence, meeting scheduling, travel logistics, and expense reporting.
-Anticipate needs, identify challenges, and provide solutions that support executive decision-making and strategic initiatives
-Act as the gatekeeper and liaison between the CEO and internal/external stakeholders, ensuring efficient information flow and prioritization of key initiatives.
-Prepare meeting agendas, presentations, and briefing materials for board, investor, and leadership meetings.
-Complete lightweight research and resource gathering to support meeting preparation
-Maintain a CEO knowledge management hub with resources, metrics, and current forecasts
-Draft and edit correspondence, memos, and communications on behalf of the CEO.
-Support follow-through on CEO commitments and ensure timely completion of deliverables.
-Manage confidential and sensitive information with discretion and professionalism.
2. Project Management Support to the C-Suite (50%)
-Under direction of the Chief Operating Officer, create and manage project plans, track deliverables, and monitor progress toward milestones.
-Partner with the COO and other C-Suite leaders on research, data analysis, and presentation development for key organizational priorities.
-Gain comprehensive knowledge across functions to identify and address trends and perspectives that impact the organization
-Relay key findings and progress from initiatives to leadership, management, and other relevant parties
-Coordinate agendas for and all relevant follow-up from weekly leadership meetings.
-Support operational excellence by improving internal processes, systems, and project alignment with company goals.
Physical & Additional Requirements
-This role involves prolonged periods in a stationary position at a desk and working on a computer
Qualifications
Required:
-5+ years of experience in administrative, project management, or operations roles supporting senior leadership. A bonus: Prior experience directly supporting C-level executives, preferably in education, nonprofit, or technology organizations.
-Proven ability to manage competing priorities with accuracy and confidentiality.
-Strong written and verbal communication skills; able to synthesize complex information clearly.
-Demonstrated success managing projects end-to-end, with experience in planning, coordination, and follow-up.
-Ability to work independently, anticipate needs, and thrive in a fast-paced, mission-driven environment.
-Proficient in Google Workspace, Slack, and project management tools (e.g., Asana, Notion, or Trello).
Preferred:
-Background in education, nonprofit, or technology organizations.
-PMP or other project management certification is a plus.

Salary: $90,000, commensurate with experience
