Based in: London, near Kings Cross. This is a part-time position at 0.6 FTE (three days per week). The role requires attendance at the DMI UK office in King’s Cross on Tuesdays and Thursdays from 0930 to 1730 (with some flexibility for earlier start and finish times by agreement). You will also be expected to work on Wednesday mornings, either in the office or remotely. The remaining hours may be worked flexibly within UK office hours, but the weekly working pattern should remain consistent.
Salary: Salary and benefits will be pro rata due to the part time nature of this role Full time equivalent salary and benefits are as follows:
- Salary: £19,200-£20,400 per annum (£32-34k FTE), plus 5% pension contribution
- Leave: 15 days’ annual leave (rising to 18 over 5 years of service) (25 rising to 30 is FTE), plus pro rata of UK bank holidays
- Other: Private health insurance, hybrid working arrangements

Job description
The Executive Assistant will be responsible for providing executive support to the CEO, as well as supporting the COO and Senior Management team with administrative tasks. The successful candidate will be an organised, confident individual who can think on their feet and develop strong working relationships with staff across the organisation.
More specifically, the Executive Assistant role will include the following responsibilities:
- Executive support to the CEO, including managing and prioritising emails and diary, preparing presentations, arranging meetings and other ad hoc tasks as required (~40%)
- Managing DMI’s UK office, which will include maintaining office supplies and IT systems (DMI has third party IT support, but you will need to have a good working knowledge of standard IT equipment/software), liaison with the building manager to support effective facility management, and ensuring compliance with health and safety requirements (~20%)
- Providing general administrative and clerical support to the DMI UK team, including creating, maintaining, and filing spreadsheets, letters, and other documents for internal and external use (15%)
- Providing administrative support to the Chief Operating Officer in particular, and other Senior Management Team (SMT) personnel as required (DMI’s SMT comprises five people, including the CEO and COO). This will include arranging meetings, managing diary conflicts, coordinating travel arrangements, liaising with staff across DMI to assist with prioritisation of tasks, and other ad hoc tasks (~15%)
- Arranging, coordinating, and preparing documents for Board Meetings, and other high-level internal meetings, including attending and taking/distributing minutes (<5%)
- Acting as the first contact point (in person and by phone/email) for suppliers, external stakeholders, and others contacting DMI’s UK office (<5%)
- Other tasks as required.
Person specification
Required knowledge, skills and experience:
- Exceptional organisational skills, such that you can approach a complex, changing, and unpredictable workload with confidence and good humour. You will need to effectively prioritise between multiple competing workstreams, both for yourself and on behalf of others.
- Strong intellectual ability: able to understand complex discussions and documents – DMI’s work includes complex scientific, political, and logistical considerations and everyone in the organisation needs to be numerate and confident with intellectual concepts.
- Excellent communication skills, particularly the ability to write (in English) in an engaging, accurate, and concise way. Your writing needs to be at a level suitable for communicating with high-calibre individuals (including high net worth individuals, donors, government departments, and others) outside of DMI.
- Good problem-solving skills - an ability to adapt and approach issues with creative thinking and resilience.
- A keen eye for detail but with the ability not to lose sight of the bigger picture.
- A professional demeanour and personal manner that allows you to work effectively with people inside and outside of DMI at all levels of seniority.
- A keen interest in the work that DMI does, and the ability to develop a thorough understanding of a complex and fast-growing organisation that works internationally.
Desirable knowledge, skills and experience:
- Previous experience as a PA/EA.
- Previous experience in a sector or organisation relevant to DMI’s work.
- A degree or equivalent in a relevant field.
