POSITION OVERVIEW

Healthy Learners is recruiting Warehouse Officers to support the effective and efficient running of its central warehouse operations. Reporting to the Warehouse Coordinator, the Warehouse Officer is responsible for the day-to-day receipt, storage, and issuance of goods, ensuring that all stock is handled accurately, stored correctly, and dispatched in good order to support programme delivery across the organisation. The role also carries responsibility for maintaining a proper and orderly warehouse layout, so that stock is safely stored, easily located, and well organised at all times. Working as part of the warehouse team, the Warehouse Officer maintains accurate inventory records, upholds strong stock control and documentation practices, and contributes to the smooth, reliable functioning of the warehouse. In accordance with our Child Protection Policy in safeguarding children, this role will have minimal to no interaction with children.

KEY RESPONSIBILITIES

RECEIVING & DISPATCH

  • Receive incoming goods, verify quantities and conditions against delivery documentation (GRNs, waybills, purchase orders), and report discrepancies immediately to the Warehouse Coordinator.
  • Prepare goods for outbound dispatch: picking, packing, labelling, and loading, in accordance with dispatch instructions and timelines.
  • Ensure all inbound and outbound movements are supported by complete, accurate documentation before goods are moved.

STORAGE & STOCK MANAGEMENT

  • Store goods in designated locations in line with warehouse layout and segregation requirements.
  • Maintain stock in an organised, accessible, and safe condition at all times.
  • Update the stock ledger and inventory records promptly following every receipt, dispatch, or transfer.
  • Conduct routine stock counts and participate in scheduled physical inventory checks.
  • Flag discrepancies, damages, shortages, or near-expiry items to the Warehouse Coordinator without delay.

HOUSEKEEPING & SAFETY

  • Keep the warehouse clean, orderly, and free of hazards at all times.
  • Handle goods safely, using correct manual handling techniques and available equipment.
  • Report any safety concerns, equipment faults, or damaged storage infrastructure immediately.
  • Ensure fire exits, aisles, and emergency equipment are unobstructed at all times.

DOCUMENTATION & REPORTING

  • Complete all required warehouse documentation accurately: GRNs, dispatch notes, transfer forms, bin cards, and stock movement logs.
  • Support the Warehouse Coordinator in preparing stock reports, damage reports, and expiry reports as required.
  • Maintain filing of warehouse documents in an organised, retrievable manner.

SKILLS & QUALIFICATIONS

  • Grade 12 School Certificate.
  • Degree or Diploma in Purchasing and Supply, Stores Management, Logistics, Supply Chain, or a related field.
  • Member of the Zambia Institute of Purchasing and Supply (ZIPS)
  • Minimum of 2 to 3 years of experience in stores or warehouse management.
  • Proficiency in Google Sheets or Microsoft Excel is essential.
  • Strong numerical accuracy and high attention to detail.
  • High level of integrity, accountability, and discipline in following procedures.
  • Experience with health commodities or medical supplies is an advantage.
  • Good communication and teamwork skills.
