Executive Summary
Inkomoko is a limited liability company that began its operations in Rwanda in 2012, focusing on supporting micro and small businesses to create jobs and improve livelihoods. Over the years, Inkomoko has expanded its reach to serve entrepreneurs across all districts of Rwanda, operating 10 program sites, including refugee host communities in Kigeme, Mahama, Kiziba, Mugombwa, and Nyabiheke refugee camps. As part of its program framework in Rwanda, Inkomoko seeks to contract a qualified company to carry out the partitioning works for its new office premises (KG 559 ST Kacyiru, Kigali City).
Inkomoko hereby invites your company to submit a proposal for office partitioning services and furniture in accordance with the specifications outlined below.
1. Service Specifications
Inkomoko is requesting a comprehensive Bill of Quantities (BoQ) as part of the proposal for office partitioning services. The BoQ is a critical document that provides an itemized list of materials, labor, and associated costs necessary for the successful execution of the partitioning project.
2. Requirements
The proposal should include:
Partitioning:
- Reception/Visitors Area: 1 unit
- Client’s Product Display/Museum Area: 1 unit
- Phone Booth (1 person): 4 units
- Meeting Room (10 people): 2 units
- Meeting Room (4 people): 6 units
- Open Office Space: 4 units to accommodate 30 people
- Wellness Room & Breastfeeding Room: 3 units
- Access Control Installation: 1 unit
- Kitchen: 1 unit
- Total Area Coverage: 1000 square meters
3. Furniture Specification
The proposal should also include details for the following furniture items:
Reception Area
- Reception Desk: 1 unit
- Visitor Chairs: 4 units
- Visitor’s table: 1 unit
Meeting Rooms
- Meeting room tables: 3 (1 for 10 people and 4 for 6 people)
- Meeting room chairs: 20 (10 for the large room and 20 for the small rooms)
Open Office Area
- Workstations: 15 units (including desks with storage cabinets)
Storage Solutions
- Lockable Filing Cabinets: 5 units
- Shelving Units: 3 units
Common Areas
- Kitchen Tables: 2 units
- Dining Chairs: 10 units
- Lounge Chairs: 2 units
5. Materials Specification
The materials specification for the office partitioning and furniture design focuses on using durable, sustainable materials to create a functional and attractive workspace. The partitioning will feature half-board (soundproof) and half-glass components, using soundproof gypsum, framed with strong materials. Furniture will be ergonomic, with adjustable components made from responsibly sourced wood and powder-coated metal, ensuring comfort and longevity. The design prioritizes sustainability, incorporating eco-friendly materials and energy-efficient features, all while adhering to local building codes and quality standards for safety and minimal environmental impact
6. Additional Deliverables
- A modified sketch of the proposed office layout.
- A 3D video rendering of the design.
7. Terms and Conditions
- Prices must include all shipping, duties, administrative, and overhead costs.
- Quotations must remain valid for 90 calendar days.
- Inkomoko reserves the right to award the contract to one or multiple suppliers and to negotiate with the two lowest evaluated bidders.
- All prices must be quoted in Rwandan Francs (RWF).
- Payment will be made via bank transfer within 30 days of invoice receipt.

9. Technical Requirements
