Departmental Overview

The Human Resources & Administration Department at Jacaranda Health plays a crucial role in supporting the organization's mission to provide high-quality maternal and newborn healthcare. The department is responsible for managing recruitment, employee development, performance management, and fostering a positive workplace culture as well as ensuring compliance. Through effective human resource management, the HR department contributes to the overall success and sustainability of Jacaranda Health's operations.

Role Overview

The purpose of this role is to support the effective delivery of Human Resources and administrative services across all Jacaranda Health ( JH) functional areas, ensuring that departments receive timely and efficient HR and administrative support in alignment with established policies.

What You’ll Do

Talent acquisition

  • Facilitate and coordinate recruitment activities, including scheduling interviews, inviting candidates, and sending feedback to unsuccessful applicants.

  • Prepare and publish job advertisements across relevant channels.

  • Maintain a database of potential candidates' CVs for future recruitment needs.

  • Assist with onboarding and offboarding by distributing tools to new employees and collecting them from departing employees. Ensure proper record-keeping of all disbursed and collected tools.

  • Conduct security checks for successful candidates before joining.

  • Planning and organizing departmental onboarding sessions.

  • Receive and welcome new employees on the first day.

  • Onboard new staff on administration processes

Learning & Development

  • Assist the HR & Administration team in facilitating learning and development activities in accordance with JH’s training policy, including coordinating training arrangements and maintaining records of trained staff..

  • Assist the HR & Administration Team in planning & organizing of HR related company wide activities i.e Staff Team Building & End year Party.

  • Track, process, and maintain records of Education Assistance applications, ensuring complete and accurate documentation.

Employee Compensation & Benefits

  • Coordinate & facilitate the medical benefit ensuring inclusion and deletion of JH staff in the medical scheme.

  • Serve as the liaison between JH staff and our insurance broker to ensure employee concerns are promptly addressed. This involves facilitating clear communication, coordinating with the broker to resolve issues, and keeping staff informed about their insurance benefits and any updates

  • Ensure that SHIF and NSSF payments for all JH staff are updated monthly through in-person visits to the respective offices

HR Data Management

  • Maintain accurate and up-to-date personnel records for all employees, ensuring that personnel files and staff databases are properly managed, regularly updated, and aligned with JH policies.

Occupational Health & Safety

  • Provide support to the Senior Coordinator in all Occupational Safety and Health (OSH) activities.

  • Ensure continuous OSH compliance in the office and promptly report any accidents or incidents to the Senior HR Coordinator.

Administration

  • Process and ensure timely payment of monthly office bills, including water, electricity, and internet, to maintain uninterrupted services.

  • Prepare the monthly administration cash request.

  • Plan, procure, and manage office supplies efficiently.

  • Maintain and regularly update the JH phone tree.

  • Monitor office supply stocks—including kitchen supplies, stationery, and JH-branded items—by developing and maintaining a simple stock management system for easy reordering, auditing, and budgeting.

  • Prepare and submit PRF forms and fund requests for HR and administration activities.

  • Welcome and assist visitors as the first point of contact at JH, providing necessary information and facilitating meetings to uphold JH’s hospitality standards.

  • Receive, address, and escalate calls to the appropriate parties, ensuring follow-up for timely resolution of requests or complaints.

  • Organize meetings, including booking meeting rooms and coordinating with vendors for necessary services such as catering.

  • Ensure the office environment is consistently maintained at high standards of cleanliness and hygiene.

  • Work with the Technology team to maintain office equipment by overseeing preventive maintenance, arranging repairs, and managing equipment inventories for smooth office operations.

  • Collaborate with the Technology team to maintain and monitor the laptop and phone asset register for all JH staff.

  • Coordinate and oversee office maintenance activities to ensure a safe, efficient, and comfortable work environment.

  • Perform any other related duties as assigned by the supervisor.

What we are looking for

Education:

  • Bachelor’s degree in Human Resources, Business Administration or any other related fields.

  • Certified Human Resource Professional I or II (CHRP I or II) or Diploma in HRM

Experience:

  • Minimum of 2 years of relevant experience as a HR generalist
