Role Expectations
*All the below-mentioned tasks would be key to your role. The following requirements are not mentioned in order of priority.
- Liaison & Communication: Serve as the primary point of contact between the Communications team and internal and external stakeholders, ensuring clear, timely, and effective communication. Build strong working relationships to enable smooth coordination and alignment across teams.
- Meeting & Documentation Management: Attend relevant internal and external meetings and calls, ensuring active participation and ownership of documentation. Capture comprehensive meeting minutes, key takeaways, and action items, and ensure timely sharing with stakeholders for follow-up and accountability.
- Scheduling & Time Management: Organize and manage dynamic schedules for the team, ensuring efficient prioritization and seamless coordination of meetings, calls, and engagements across multiple stakeholders and time zones.
- Written & Verbal Communication: Draft high-quality, sensitive, and confidential written communication for a range of stakeholders, maintaining professionalism, clarity, and discretion in all interactions.
- Cross-functional Coordination: Collaborate with teams across departments to ensure timely execution of tasks, alignment on priorities, and smooth progress of ongoing initiatives.
- Project Management & Execution: Initiate and manage end-to-end projects, tracking progress across new and ongoing initiatives, ensuring timely updates, identifying risks, and enabling course correction where required.
- Issue Resolution & Escalation: Monitor ongoing workstreams and proactively identify potential challenges, escalating issues in a timely manner to ensure minimal disruption and effective resolution.
- Event & Meeting Coordination: Manage agendas, documentation, and follow-ups for meetings, events, and strategic discussions involving the Communications team, ensuring structured and outcome-oriented engagements.
- Research & Presentation Support: Conduct research, synthesize insights, and prepare structured documents and presentations to support high-stakes meetings, conferences, and external engagements.
- Travel & Logistics Management: Coordinate travel and logistics, including flights, accommodations, itineraries, and event arrangements, ensuring a seamless and well-organized experience for team members.
Educational Qualification
Bachelor's degree in any relevant field.
Experience
- 3–5+ years of experience in project management, operations, communications, or similar roles.
Characteristics
- Experience in managing schedules, stakeholders, and cross-functional coordination in fast-paced environments.
- Experience in supporting senior teams with documentation, communication, and project execution.
- Familiarity with research, presentation creation, and structured problem-solving approaches.
Proficient in shorthand for fast and accurate note-taking.
Typing speed of 130 words per minute.
Comfortable managing calls across multiple time zones.
Access to a high-speed internet connection.
Ability to handle sensitive and confidential information with discretion.
Strong organizational and time-management skills with high attention to detail.
Proactive, solution-oriented, and able to anticipate needs and challenges.
Highly adaptable and comfortable working in a fast-paced, evolving environment.
Excellent written and verbal communication skills in English.
