Reporting to the Finance and Operations Coordinator, the Admin & Operations Coordinator will play a key role in supporting the day-to-day administrative and logistical operations of the Eyeglasses Distribution by Health Extension Workers (HEWs) project. This role will be central to ensuring the smooth and timely flow of supplies across the project lifecycle–from importation and storage to distribution at the subnational level.
The Coordinator will oversee supply chain operations with a strong focus on stock management, including maintaining accurate inventory records, coordinating transportation, and supporting the deployment of eyeglasses to HEWs across project sites. This position requires a detail-oriented and solutions-driven professional who can ensure compliance with relevant policies, troubleshoot operational challenges, and work collaboratively across internal teams and external partners.
About the Scaling Eyeglass Distribution by Health Extension Workers (Livelihood Impact Fund - Phase II)
Last Mile Health (LMH), with support from the Livelihood Impact Fund and in partnership with Ethiopia’s Ministry of Health (MOH), piloted a successful program that integrated basic eye care, particularly vision screening and presbyopia identification, into the national Health Extension Program. Through the pilot, Health Extension Workers (HEWs) successfully distributed more than 26,000 eyeglasses for presbyopia correction.
Building on this momentum, LMH, in collaboration with the MOH and Livelihood Impact Fund, plans to reach at least 472,500 people with vision screening and distribute approximately 354,375 near-vision eyeglasses, leveraging 11,313 HEWs trained in primary eye care.
This role is a fixed-term position located in Addis Ababa, Ethiopia, and is open to Ethiopian nationals. This is a contract for 12 months starting in August 2025, with possible renewal for an additional 6 months.
What You’ll Do
Procurement & Logistics
- In accordance with LMH’s procurement policy, place office supply orders and facilitate technical team procurement requests.
- Manage and administer both inter-city taxis and 4x4 rentals for field work.
Legal & Regulatory Compliance
- Coordinate the preparation and submission of all prerequisite documentation required for customs clearance, including certificates, invoices, and customs forms.
- Facilitate licensing and regulatory engagement with the Food and Drug Authority (FDA), ensuring timely acquisition and renewal of all necessary permits and approvals related to imported goods and medical supplies.
Shipping & Storage
- Support end-to-end customs clearance procedures and manage all associated paperwork in compliance with national import regulations.
- Oversee warehouse rental and storage logistics to ensure secure and accessible storage of supplies before distribution.
- Lead the coordination of initial logistics for essential medical and vision screening supplies, including procurement, transport, and delivery to regional distribution hubs.
- Lead regular inventory checks and update stock records to share with the program team, supporting effective planning and reporting to key stakeholders, including the donor and the Ministry of Health.
Transportation & Distribution
- Manage vehicle rental services for eyeglasses and screening supply distribution, including the scheduling of drivers and the coordination of delivery routes to woredas and screening sites.
Materials Preparation
- Oversee the printing, binding, and laminating of all necessary distribution and campaign documents such as intake forms, guidance sheets, and instructional materials to ensure readiness for field use.
Coordination & Oversight
- Organize and manage operational field visits to woredas, including travel logistics and coordination with local facilities and district health staff.
- Serve as an operational liaison between Addis-based support teams and field-based implementation teams to ensure smooth delivery of logistics and supplies.
Compliance
- Review and renew vendor contracts
- Work with Operations Coordinator and Finance Manager to ensure all filings and reports (as they relate to operations or people operations) are submitted on time and complete to the government regulations.
- Ensure that all employees understand LMH policies
Event Coordination
- Coordinate logistical aspects of events, including booking transportation and accommodations, arranging venues, managing per diem payments, and ensuring event materials are prepared.
What You’ll Bring
- Bachelor’s degree with experience in the field of logistics, business administration, or a related field.
- Relevant years of experience in operations, procurement, or logistics, ideally in the health or development sector.
- Experience managing customs clearance, regulatory compliance, and engagement with authorities like the FDA.
- Proven skills in coordinating transportation, supply distribution, and warehouse logistics.
- Familiarity with supporting campaign logistics.
- Strong field coordination experience, including liaising with local health staff and managing travel logistics.
- Ability to work independently, manage multiple tasks, and meet deadlines in dynamic settings

For Ethiopia, the range is $13,094- $24,733 USD per annum, dependent upon experience doing an equivalent role. Please note that this compensation is subject to Ethiopian taxes.
