How You Will Make an Impact:

The Credential Specialist is responsible for ensuring that all certificated employees meet credentialing requirements, as well as provide advice and service all inquiries dealing with credentialing. This position must verify, monitor, coordinate, evaluate, gather information, interprets, and recommend actionable steps to certificated employees and school administrators to ensure compliance with state certification and licensing regulations. This position must maintain accuracy and validity of credential records in HR Systems, student information databases, and internal resources by conducting regular audits and updates. This position reports to Director, People Services, or designee.

  • Ensure highly responsive and exceptional quality customer services is provided.
  • Provide subject matter expertise as it relates to credentials application, renewal process, and procedures to new hires, certificated employees, and Teacher Induction participants.
  • Review, verify, and monitor credentials, permits, and other teaching authorization status of certificated employees to ensure that they are valid and meet current state credentialing requirements.
  • Advise, assist, and provide information to applicants, employees concerning current laws and requirements pertaining to a variety of credentials issued by State Credentialing Agency.
  • Collaborate with credentialing team on the evaluation of transcripts, education units, credentials, course work, etc. for the purpose of determining eligibility for credentials and placement, advise applicants regarding credentialing.
  • Process credential permits, waiver application and monitor status.
  • Review Teaching Commission and Department of Education legislation and information to maintain current knowledge regarding new laws, rules and regulations governing teaching and administrative service credentials, licenses, certification, and permits.
  • Review exceptions in CALSAAS, coordinate assignment exceptions to the point of contact for CALPAD, Special Education and other department, make determination and communicate status to School Leadership and Monitoring Authorities.
  • Complete various data on State reports including CBEDS, CALPADS, REP, as applicable.
  • Prepare correspondence, forms, and reports in accordance to School Authorizer standards and requirements.
  • Coordinate the employment of teachers, tutors, administrator assignments, credential and/or education advancement and other documents with HR team and HR Leadership.
  • Document and maintain credentialing standard operating procedures, forms, FAQs, and related documents.
  • Collaborate with Recruiters to screen and review credentials of applicants for certificated positions.
  • Build relationship with County Office of Education and gain understanding with each of their procedures and practices.
  • Provide credentialing training to internal staff, employees, and another department, as needed.
  • Complete Verification of Experience forms, Letters for loan forgiveness, Intent to Hire, etc.
  • Assist with review of and information needed for university internship agreements.
  • Assist the Teaching Induction Program (TIP) to enroll, review and support Teaching Induction participants and Induction Coaches.
  • Participate in meetings, internal and external trainings, and conferences as it relates to Credentialing.
  • Perform administrative duties, responsibilities, and activities as assigned. These may be changed or modified from time to time.

Qualifications

KNOWLEDGE, SKILLS, ABILITIES:

  • Extensive Knowledge of State education credential rules, regulations, requirements, including credentials, certifications, permits and practices. Knowledge of best practices in Human Resources.
  • Ability to research, analyze information, integrate analyses of information or data, and present logical conclusions for informed operational decisions and apply general rules to solve problems.
  • Ability to manage multiple projects simultaneously in a fast-paced and high-volume work environment while maintaining quality control with respect to deadlines and budgets.
  • Ability to handle sensitive and confidential matters appropriately.
  • Excellent communication skills, ability to convey information and ideas clearly, in both written and verbal.
  • Self-sufficient and dedicated to excellent customer service and team collaboration.

MINIMUM QUALIFICATIONS:

  • High School, GED or any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
  • 3 years of experience working in educator certification preferred.
  • 3 years of experience in compliance and record keeping in HR and Student Information Systems required.
  • Experience in completing or supporting various data information on State reports including, but not limited to CALPADS and CEBEDS preferred.
  • Regular attendance, and be available to work on-site, in-person, remote during regular business hours, as needed.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to travel in performance of job duties, as needed required.

PHYSICAL REQUIREMENTS:

  • Vision: Ability to read small print and view a computer screen for prolong periods, prepare, or inspect documents and operate office equipment.
  • Hearing: Ability to hear average or typical conversations and receiving ordinary information.
  • Speech: Ability to be understood in face-to-face communication, in person or remote, to speak with level of proficiency and volume to be understood over a telephone or computer.
  • Mental Demands: Ability to read, write, understand, interpret, and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Frequent multi-tasking, changing of task priorities, repetitious exacting work. Understand how to manage stress.
  • Upper Body Mobility: Ability to use fingers to make small movements such as typing, picking up small objects, or pinching fingers together, use hands to grasp, and manipulate small objects; twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
  • Strength: Ability to lift, carry, push, and pull objects weighing up to 10 pounds.
  • Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors. Prolonged period sitting at a desk and working on a computer. Work in a low to moderate noise environment with frequent deadline pressures.
