How You Will Make an Impact:

The People Services Technician compiles and maintains records, coordinates and provides technical support for services and programs. Depending on assignment, duties may include, but not are limited to Human Resources Administration, Recruitment, Employee Onboarding and off-boarding, Benefits Administration, Training, Quality Control, Insurance, Risk Management or other related functions. This position is to perform job duties with high standards of confidentiality regarding sensitive data, records, and situations.

  • Provide operational, technical, and clerical support, respond by email, phone and in person to questions from candidates, employees, and internal customers regarding the organizations human resources, benefits, compensation, onboarding and off boarding services, policies, processes, and procedures
  • Coordinate and assist with recruiting, new hire onboarding, pre-employment tasks, conduct new hire orientation, assign mandated and related trainings, assist with benefits activities including open enrollment, qualifying events, and process employee change notices
  • Utilizes organization's systems or databases to record employee information such as personal data, compensation, benefits, hiring, and termination information including COBRA notification when applicable
  • Maintain, updates, and ensure accuracy of employee data in organizations systems and personnel files
  • Conduct regular quality assurance audits and verification, assess discrepancies, suggest appropriate solution, process employee changes to correct employee data in organizations systems
  • Create, run and maintain various reports and spreadsheets to track employee data
  • Maintain high standards of confidentiality and discernment regarding sensitive employee data, records, and situations
  • Support the People Services Division on projects, programs, compliance, oversight, and renewal audits
  • Verify vendors invoices and billing records for payment
  • Assist and conduct new hire orientation and process all pertinent documents
  • Assist in completing verifications of employment
  • Adhere to attendance policies
  • Attend and participate team meetings and trainings
  • Perform administrative duties as needed and other duties as assigned

Qualifications

SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:

  • Demonstrates excellent customer service skills including the ability to greet customers in a friendly manner and provide responsive, timely, and accurate follow-up to questions and inquiries
  • Multi-tasking skills; ability to react and respond to changing circumstances, procedures
  • Respond to requests and inquiries from employees and supervisors
  • Attention to detail and maintain accuracy of work
  • Able to work under tight deadlines and handle multiple requests or interruptions while still completing projects or work assignments in a timely manner
  • Ability to communicate effectively both orally and in writing
  • Is committed to working as a part of a team
  • Knowledge of Federal, California employment laws, human resources, and benefits functions
  • Has initiative and commitment to ongoing learning and professional development
  • Human Resources certification or related industry certification is plus

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent is required; associate or bachelor degree preferred
  • 1 to 2 years of work experience in a fast-paced, clerical support position in a profession business setting
  • Any combination of education, training and experience that demonstrates the ability to perform the duties of the position
  • Prior experience in Human Resources, Benefits, Risk Management, or related field is highly desirable
  • Experience working in HR, Payroll, and Benefits Systems or related database systems is a plus
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)

TRAVEL: Ability to travel in performance of job duties is required

PHYSICAL REQUIREMENTS:

  • Mental Demands: high workflow management, high project coordination
  • Finger Dexterity: using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together
  • Talking: especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly
  • Average Hearing: able to hear average or normal conversations and receive ordinary information
  • Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents or operate machinery
  • Physical Strength: sedentary work. Sitting most of the time, and occasionally exerts up to 10 lbs. of force (almost all office jobs)
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required
  • Working in a noisy, distracting environment with frequent deadline pressures
