How You will Make an Impact

The School Coordinator (SEC) is responsible for overseeing, organizing, and coordinating education programs, ensuring the efficient and effective delivery of educational services, supporting students, teachers, and parents. This role involves managing administrative processes, coordinating with various departments, and implementing policies and procedures to enhance the educational experience for students and staff. This position acts as a liaison between school staff and school administration, ensuring that educational goals are met while addressing any logistical or operational concerns. This role may involve both administrative and academic responsibilities, depending on the school's needs. This position reports to the Head of Schools or Designee.

  • Support the Head of Schools, Faculty, and Staff: Assist in organizing and facilitating the day-to-day operations, ensuring a smooth and effective educational environment for both staff and students as the daily in-person school administrator on-site.
  • Coordinate Meetings and Schedules: Manage and coordinate student schedules and school calendars, optimizing time management and ensuring all key stakeholders are aligned and informed.
  • Streamline Administrative Tasks: Oversee the flow of paperwork within PBIA SES by handling phone calls, taking messages, and directing inquiries to the appropriate individuals, ensuring efficient communication and organization.
  • Manage Attendance Reporting: Accurately verify and maintain weekly attendance records, ensuring data integrity and timely reporting internally and externally.
  • Promote Enrollment: Clearly communicate the unique benefits of our school to potential families, effectively converting leads generated through calls or walk-ins to enrolled students.
  • Maintain Compliance with State Laws: Verify and manage immunization records for new enrollments, ensuring compliance with state regulations and maintaining up-to-date records.
  • Ensure Resource Availability: Monitor and ensure the availability of necessary supplies for smooth daily operations, facilitating an uninterrupted learning experience for students and staff.
  • Assist with Admissions: Support the collection and organization of admissions materials, ensuring all necessary documentation is gathered and processed quickly and accurately.
  • Facilitate Events: Assist with organizing and executing events such as tours, Open Houses, student field trips, and college visits, providing a welcoming and inspiring experience for prospective students and their families.
  • Perform other tasks as assigned, contributing to the overall success of the school’s operations and student experience.

Qualifications

KNOWLEDGE, SKILLS, ABILITIES:

  • Knowledge and understanding of laws, regulations, policies, and procedures relevant to the area of employment.
  • Knowledge and understanding of the Organization’s culture, business units, services, and products.
  • Ability to interpret and apply laws, regulations, policies, and procedures.
  • Ability to understand, analyze, and explain mathematical rules and equations used for data analysis.
  • Ability to prioritize work, excellent organizational skills, and initiative to improve processes.
  • Ability to handle multiple competing assignments and deadlines while being flexible and adaptable.
  • Ability to work in team environments and with multiple levels of personnel.

MINIMUM QUALIFICATIONS:

  • High School Diploma or General Education Diploma Degree is required.
  • Experience in project coordination, organizing, and prioritizing is a plus.
  • Strong organizational, communication, and leadership skills.
  • Proficiency in educational software and administrative systems and MS Office (word, Excel, Outlook).
  • Knowledge of school policies, regulations, and curriculum standards.
  • Ability to perform job duties with minimal supervision, dependability, high quality, and quantity required.
  • Ability to travel up to 5% In performance of job, duties as required.

PHYSICAL REQUIREMENTS:

  • Vision: Ability to read small print and view a computer screen for prolong periods, prepare, or inspect documents and operate office equipment.

  • Upper Body Mobility: Ability to use fingers to make small movements such as typing, picking up small objects, or pinching fingers together, use hands to grasp, and manipulate small objects; twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
  • Strength: Ability to lift, carry, push, and pull objects weighing up to 10 pounds.
  • Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors. Prolonged period sitting at a desk and working on a computer. Work in a low to moderate noise environment with frequent deadline pressures.
