How You Will Make an Impact

The Facilities Coordinator, under the supervision of the Director of Facilities and Logistics, will manage the processes and requirements of opening new locations from inception to conclusion of the project. This position will coordinate with various City building agencies and contractors in support of the Facilities Department, including contracted service vendors, janitorial vendors, maintaining records and contracts, coordinating project activities, schedules, and oversee existing locations. The Facilities Coordinator will be the first point of contact for internal and external customers seeking support and information from the Facilities department and assigned projects.

  • Manage project implementation, project details such as plan preparation and evaluation of new facilities, existing facilities, and potential new locations
  • Develop plans and estimate costs for installation of systems, utilization of facilities, or construction of structures
  • Create projections to determine space requirements such as square footage, room needs, and parking
  • Liaison and work with the City building departments to ensure compliance for occupancy and use requirements
  • Inspect project site and evaluate contractor work to detect design malfunctions and ensure conformance to design specifications and applicable codes
  • Interface and follow up regularly with contractors, architects, various vendors to keep project on schedule, report back updates to executives
  • Oversee facilities related issues such as A/C and building repairs and ensure timely repairs resolution
  • Oversee the search for new locations as assigned, including conducting demographic and dropout rate reports
  • Evaluate and report deficiencies on potential new locations
  • Prepare general, statistical, special reports, and maintain records of activities and recommendations for facilities department
  • Collaborate with local site leadership, finance/purchasing, and information technology on space design, furniture requirements
  • Read and report on Letters of Intent and Leases
  • Obtain multiple bids from various contractors and report details
  • Create and maintain the site office furniture and equipment inventory
  • Track status and completion of projects, and respond to inquiries about projects Provide administrative support to the Facilities department, manage office functions including: Work Order request coordination, daily office operations, and providing facilities support services for the local site leadership
  • Perform administrative duties, responsibilities, and activities may be assigned or changed from time to time

Qualifications

SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:

  • Knowledge of codes, standards, and regulations as they apply to design, construction, operations, health and safety
  • Strong project management, organization, scheduling, and record keeping skills Ability to handle large and small scale projects with competing priorities and meet deadlines
  • Ability to react and respond to changing circumstances, procedures, and able to work under tight deadlines demonstrating multi-tasking skills
  • Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations)
  • Ability to identify information by categorizing, estimating, recognizing differences or similarities, and detecting changes in circumstances or events
  • Ability to maintain a positive working relationship at all levels, both in and out of the organization
  • Self-sufficient, independent, and focused on excellent customer service

MINIMUM QUALIFICATIONS:

  • High School Diploma or General Education Diploma required
  • 3 years of related business experience required
  • Knowledge of design techniques, tools, and principals involved in production of precision technical plans, blueprints, drawings, and models preferred
  • Knowledgeable of building codes and regulations preferred
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Must live in Florida or Texas, preferred.

TRAVEL: Ability to travel, up to 50% in performance of job duties is required

PHYSICAL REQUIREMENTS:

  • Mental Demands: high workflow management, high project coordination
  • Finger Dexterity: using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together
  • Talking: especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly

  • Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents or operate machinery
  • Physical Strength: sedentary work. Sitting most of the time, and occasionally exerts up to 10 lbs. of force (almost all office jobs)
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required
  • Working in a noisy, distracting environment with frequent deadline pressures
