How You Will Make an Impact
The Travel Technician will support department leadership by arranging business travel for employees, identifying the most cost-effective and efficient travel arrangements, and making necessary reservations for accommodations. This position will review modes of transportation, travel dates, costs, and accommodations in accordance with the Organization's travel guidelines and policies. This position reports directly to the Service Operations Manager or Designee.

RESPONSIBILITIES/DUTIES

  • Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff.
  • Research and compare available travel and hotel accommodations to identify the best option for each travel need.
  • Communicate with travelers regarding travel policies and procedures and ensure cost effective travel arrangements.
  • When travel arrangements are within approved travel reasons and budget limits, make all arrangements and reservations as requested.
  • Coordinate with Executive Admin Assistants to coordinate travel for Executive Leadership
  • Obtain approval from leadership for travel requests and expenses that exceed established limits.
  • Monitor, sort and prioritize travel requests daily to maintain a high level of customer service.
  • Stay apprised of travel status and inform travelers of any potential delays or changes.
  • Collaborate with other team members to optimize travel processes and procedures.
  • Create and maintain accurate records of billings, itineraries, invoices, and other forms of travel confirmation.
  • Reconcile travel requests with vendor invoices to ensure accurate billing and cost effectiveness.
  • Coordinate and assist in resolving employee’s travel issues.
  • Perform administrative duties, responsibilities, and activities as assigned. These may be changed or modified from time to time.

Qualifications

KNOWLEDGE, SKILLS, ABILITIES

  • Ability to read, understand information, and carry out oral and written directions.
  • Ability to meet schedules and timelines.
  • Ability to work in team environments and with multiple levels of personnel.
  • Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules.
  • Ability to work in a high-volume and fast-paced environment.
  • Ability to perform data entry and maintain records correctly.
  • Ability to establish and maintain positive and productive working relationships.

MINIMUM QUALIFICATIONS

  • High School Diploma or equivalent is required; associate or bachelor’s degree is preferred.
  • 1-2 years of experience in corporate travel or related field is required.
  • 1- 2 years of work experience in clerical and administrative in a fast-paced setting is required.
  • Strong knowledge of the travel industry is a plus.
  • Intermediate skills in MS Office (Word, Excel, PowerPoint, Outlook) and other technology applications.
  • Ability to travel in the performance of job duties is required.
  • Ability to lift, carry, push, and pull objects weighing up to 10 pounds.

PHYSICAL REQUIREMENTS

  • Mental Demands: medium workflow management, medium project coordination, high people engagement.
  • Finger Dexterity: primarily using the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
  • Talking: especially where one must accurately, loudly, or quickly convey detailed or important instructions or ideas.
  • Average Hearing: hearing average conversations and receiving ordinary information.
  • Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents and operate office equipment.
  • Frequent multi-tasking, changing of task priorities, repetitious exacting work required.
  • Prolonged periods sitting at a desk and working on a computer.
  • Working in a low to moderate noise environment with frequent deadline pressures.
