JOB PURPOSE

The Senior Lead - HR Shared Services oversees and manages critical HR transactional functions to ensure efficient and compliant HR Shared Services. This role focuses on registry/records management, contract management, employee insurance benefits, and onboarding/offboarding support. The ideal candidate will have strong leadership skills, a deep understanding of HR processes, and a commitment to maintaining data integrity and excellent service delivery.

KEY JOB FUNCTIONS

Registry / Records Management:

  • Ensure all employee documentation on the HR Information System (HRIS) is accurate and up to date.

  • Develop and implement processes to maintain data integrity and compliance.

  • Oversee audits of HR records to ensure completeness and accuracy.

Contract Management:

  • Ensure all staff have valid contracts of employment.

  • Coordinate the contract preparation and renewal process.

  • Maintain an up-to-date repository of all employment contracts.

Onboarding and Offboarding Management:

  • Coordinate the end-to-end local onboarding and offboarding processes to ensure a seamless and engaging experience for all new hires and exits.

  • Ensure timely preparation of exit documentation for departing employees.

  • Collate and follow up on documentation for new hires, ensuring alignment with business needs and legal requirements.

  • Manage the offboarding process, including benefits cessation, final payments, and exit interviews.

  • Follow up on outstanding exit/clearance process items until closure.

Employee Insurance Benefits Administration:

  • Oversee the enrolment of all staff into the company's medical and group life insurance schemes.

  • Follow up on insurance claims and ensure prompt payment.

  • Conduct periodic reviews of medical benefits to ensure they meet staff needs and market standards.

  • Liaise with insurance providers to resolve issues and maintain positive relationships.

General HR Administration Support:

  • Provide HR ticket management support via the Freshservice system for assigned tickets.

  • Assist HR Managers with Purchase Order (PO) submissions, ensuring required documentation is in place.

  • Support global HR initiatives, events, and special projects as needed.

EXPERIENCE, SKILLS & COMPETENCIES, LICENCES & CERTIFICATIONS, EDUCATION REQUIRED

  • Bachelor’s degree in HR, Business, or a related field.

  • Proven experience in a supervisory HR role with a focus on HR Shared Services.

  • Strong knowledge of HR processes, employment laws, and benefits administration.

  • Demonstrated ability to lead and manage a team, driving results and fostering a positive work environment.

  • Excellent written and verbal communication skills, with the ability to build effective relationships with internal and external stakeholders.

  • Strong attention to detail and analytical skills, with the ability to identify trends, make data-driven decisions, and continuously improve processes.

  • Proficiency in HR systems and technology.

  • Experience with FreshService or similar ticketing tools is an advantage.
