OneSky was founded in 1998 to improve the lives of children in China’s welfare institutions. You can read more about our impact here In Mongolia, OneSky seeks to improve the lives of young children living in vulnerable circumstances in the ger-districts of Ulaanbaatar and beyond, through introducing OneSky’s innovative international curriculum and programs. Working in partnership with the government, OneSky currently implements three streams of work in Mongolia: 1) scaling our popular parent and caregiver education program (Family Skills Program) 2) supporting, strengthening and expanding the independent childcare sector, and 3) improving the lives of children living in alternative care. In addition, OneSky operates a Family Center and Child Development Center (Playground Ger) in the Bayanzurkh District, which offers parenting training programs and activities for families with young children, who live in the community. Finally, OneSky offers similar programs (activities and education programs to young children and their families) to organizations working with families in community settings. Position: Administrative Manager, MNReports to: Country Director, MNDirect Report: Operations Coordinator Job OverviewThe Administrative Manager plays a central role in ensuring smooth internal operations, effective internal communication, and strong administrative systems across the organization. This role focuses on managing internal relationships, coordinating organizational processes, and providing high-level executive support to the Country Director.The position also oversees office administration, documentation systems, and operational projects, ensuring alignment with organizational policies, safeguarding standards and global compliance requirements.. Key Responsibilities:- Provide administrative support to the OneSky Mongolia office : handle registration for operations in Mongolia, office license extension, visa processing and logistics for all visitors/expatriate staff, arrange conference permits and, events for project purposes- Develop, implement, and continuously improve administrative policies, procedures, documentation and systems.- Manage and maintain filing systems, ensuring ongoing organization, accessibility, and accuracy of digital documentation across platforms e.g MS Teams- Provide background/ supporting documentation as requested; prepare and organize documents, reports, and presentations to ensure timely submission of appropriate documentation (e.g., license extensions)- Provide high-level administrative support to the Country Director- Manage and organize the schedule of Country Director including internal and external meetings, conference or business travel arrangements- Coordinate meetings, draft agendas, and document meeting minutes and action points for Country Director- Support follow-up on key decisions and ensure timely execution of priorities- Lead the preparation and consolidation of monthly organizational reports including coordination with the program team.- Undertake any additional duties that may, from time to time, be necessary and compatible with the nature of this role- Serve as the main point of contact for commercial vendors for OneSky’s operational requirements- Manage the office supply chain and ensure that requisitions are processed, suppliers managed, and OS assets are well maintained and recorded- Manage relationships with facilities management; coordinate office maintenance and support needs- Supervise the acquisition and maintenance of computer equipment and supplies in accordance with OneSky’s procurement policies and budgetary restriction Job Requirements:- Bachelor’s degree in Business Administration, Management, Communications or related field- Minimum 3–5 years of experience in administration, operations, or office management- Experience providing executive-level support is highly preferred- Strong organizational and project management skills- Proficiency in Microsoft Office and collaboration tools (e.g., Microsoft Teams)- Experience in document management and system migration is an asset- Skills trained: well-organized, time management, teamwork, report writing, presentation and negotiation.- Strong interpersonal and communication skills- High level of organization and attention to detail- Ability to manage multiple priorities and deadlines- Problem-solving and proactive mindset- Discretion and professionalism in handling sensitive information- Ability to work independently and collaboratively- Experience in non-profit or international organizations- English is a must Salary & Benefits:Salary is competitive and commensurate with experience and includes excellent benefits.
