About the role
The Administrative cum Logistics Officer will be responsible for managing day-to-day administrative operations and ensuring smooth logistical support for programmes, events, trainings, travel, procurement, and office management activities. The role requires coordination with internal teams, vendors, consultants, field offices, and external stakeholders to ensure efficient operational support across the organisation.
Key responsibilities include (but are not limited to):
Administration
  • Manage overall office administration and ensure smooth functioning of office operations.
  • Maintain office records, files, registers, and administrative documentation.
  • Coordinate office maintenance, housekeeping, security, and utility services.
  • Support procurement processes, including vendor identification, quotations, comparative statements, purchase orders, and inventory management.
  • Maintain fixed asset and inventory records.
  • Ensure availability of office supplies and consumables.
  • Coordinate renewal of office agreements, subscriptions, AMC contracts, and service agreements.
  • Assist in policy implementation related to administration and operations.
  • Support HR and finance teams in administrative coordination whenever required.
Logistics & Event Coordination
  • Arrange logistics for meetings, workshops, trainings, conferences, and field visits.
  • Coordinate travel bookings including flights, trains, accommodation, and local transportation for staff and consultants.
  • Liaise with vendors, hotels, transport agencies, and event service providers.
  • Ensure timely dispatch and receipt of materials, documents, and programme supplies.
  • Support programme teams in field logistics planning and execution.
  • Track and maintain logistics-related records, bills, invoices, and approvals.
Vendor & Facility Management
  • Develop and maintain relationships with vendors and service providers.
  • Ensure cost-effective procurement and quality service delivery.
  • Monitor vendor performance and maintain updated vendor databases.
  • Verify bills and coordinate timely submission for payment processing.
Compliance & Documentation
  • Ensure administrative documentation is properly maintained and archived.
  • Support compliance requirements related to office administration and statutory documentation.
  • Maintain updated records of contracts, and agreements.
Qualifications and Role Requirements:

  • Educational Background: A relevant educational background in Management or Finance or a related field. Preferably Masters in Business Administration.
  • Work Experience: We value both professional and personal experience. Candidates with 3–5 years of relevant experience in administration, logistics, or operations, preferably in the NGO/development sector.
  • Other Skills: Strong project management skills, including planning, implementation, and evaluation.
  • Language Proficiency: English and Hindi
