Position Summary

The Finance and Administration Officer contributes his/her energy, passion, and skills primarily to supporting Seed’s Zambia country program in a fast-paced office environment during a period of rapid growth. This is a full-time position that reports to the Finance Manager and works closely with all country program team members.

This is a national position. Application window is open until 20th August 2026.

Duties and Responsibilities

Finance

  • Manage accounts for payable processes, including purchase requisitions, payment requests, vendor payments, approval of workflows, and payment communications in accordance with organizational policies and procedures.
  • Maintain accurate financial records and accounting data by processing transactions in Sparkrock, managing supporting documentation, and ensuring compliance with bookkeeping and record-retention requirements.
  • Administer petty cash, staff advances, and other financial transactions,
  • Perform reconciliations of bank accounts and key balance sheet accounts to ensure accuracy and timely resolution of outstanding items.
  • Support cash flow management, month-end and year-end close processes, financial reporting, budgeting activities, statutory compliance, and audit requirements.
  • Manage the reconciliation and retirement of travel advances, ensuring timely accountability and accurate recording in the financial system.

Administration

  • Maintain the fixed asset register and support procurement administration activities, including asset tagging and verification, maintenance of procurement documentation, vendor records, and compliance with organizational policies and procedures.
  • Provide logistical and administrative support for training, workshops, meetings, and other organizational events, including venue arrangements, participant coordination, travel logistics, and procurement of required supplies and services.
  • Maintain effective filing systems and safeguard financial, procurement, and administrative records in accordance with Seed’s and regulatory requirements.
  • Perform any other finance and administrative duties assigned by the supervisor.

Knowledge, skills and abilities

  • A bachelor’s degree in finance/accounting discipline, progress towards a professional accounting qualification (ZICA, ACCA, CIMA, or equivalent) is an added advantage.
  • Member with the Zambia Institute of Chartered Accountants (ZICA)in good standing
  • Minimum of two (2) years' progressive experience in finance and administration, preferably within an NGO or donor-funded environment.
  • Proficiency in Microsoft Office applications, particularly Excel, and experience using ERP/accounting systems such as Navision or Microsoft Dynamics Business Central, or similar platforms.
  • Sound understanding of Generally Accepted Accounting Principles (GAAP), International Financial Reporting Standards (IFRS), financial controls, statutory compliance requirements, and financial management practices within an NGO or donor-funded environment.
  • Strong organizational, analytical, and problem-solving skills with excellent attention to detail and accuracy. Excellent interpersonal, communication, and stakeholder management skills, with the ability to work effectively across teams and with external partners.
  • High level of integrity, professionalism, and commitment to confidentiality and data protection.
  • Strong time management skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Working Conditions

  • Full time schedule (40 hours per week)
  • On-site based out of the Zambia country office in Lusaka.
  • Travel may be required during partner engagements and team meetings.
