Position Summary

In 2024, Teach For All will launch the Global Institute for Transforming Education. By enabling cross-border learning and sharing among education practitioners, we will catalyze a global shift toward teaching and learning that supports holistic student leadership development.

The Global Institute for Transforming Education will foster collective, cross-cultural learning about how to develop all students—in particular those in the most marginalized communities—as leaders of a more just, equitable, and sustainable future. We will connect, challenge, and inspire a diverse network of classroom, school, and system leaders around the world through its three complementary components: an Academy offering online courses and workshops, a Research Lab supporting practitioner research, a Resource Hub that makes emerging insights and resources accessible to all, and an Outreach and Partnerships arm that builds the relationships and networks to enable collective leadership.

To help advance Teach For All’s 25-year vision and intended outcomes via this Global Institute and its Academy, we are seeking an Academy Operations Manager to support the Academy team with a range of operational aspects of hosting virtual learning experiences for participants from all around the world. The person in this role will help ensure that logistical systems are well organized and implemented—all in service of ensuring participants have a smooth experience with the Academy. This person will also provide strategic input and support towards the Global Academy planning process. It is essential that this person holds a sincere belief in Teach For All’s mission and vision, and approaches their work with energy and conviction as a result.

About the Team

The Academy Operations Manager will report to the Head of Collective Learning and Consulting and work most closely with Global Institute’s Academy team, supporting both Academy and Institute-wide efforts.

As the Academy’s Operations Manager, you will focus on ensuring that:

1) Academy faculty and contractors feel clear, positive, and connected throughout selection and once hired, and have the systems and communication they need to deliver high-quality session content on time

  • Ensure smooth processes for hiring faculty—including managing the online application, ongoing communications with people applying for faculty positions, contract issuing, etc.
  • Collaborate with the Academy team to streamline communication to faculty so that the experience feels seamless and contains all logistical and content messages in easy-to-access ways
  • Manage and coordinate contractor (including language interpreters) paperwork and payment
  • Conduct quality control processes and manage communications with faculty to ensure on-time delivery of finalized faculty-created content
  • Copy-edit key documents and resources

2) Learners in the Academy can focus fully on learning and have a positive experience

  • Design and implement registration and selection systems that build cohorts of participants for courses and workshops
  • Schedule courses and workshops, design the course catalog, set up Zoom links, manage time zones, and ensure participants and faculty have smooth access to their learning experiences
  • Set up and manage systems to track attendance, inform credentials tracking
  • Collaborate with the Academy team and Faculty to manage communication to current and future participants, so that communication is clear, effective, and streamlined

3) The team has a strong culture and connectedness and operates effectively - rooted in data and with strong financial and tech processes

  • Manage ongoing communication systems within the team such as weekly videos and e-mails
  • Project manage team progress, ensuring we are on track for key milestones
  • Support the Head of Collective Learning and Consulting and the Academy team to design and lead team meetings, retreats, etc. and to manage the Zoom and in-person logistics for any team gathering
  • In partnership with the Head of Collective Learning and Consulting and the team, facilitate the strategic planning process for the Academy, working closely with the Academy team to define strategic priorities and division of labor
  • Foster a collaborative environment within the Academy team to encourage input and engagement in budget and strategic planning activities and other key activities
  • Oversee the annual budget planning process for the Academy, ensuring alignment with goals and objectives, in strong collaboration with the Head of Collective Learning and Consulting, the Head of Strategy and Operations for the Global Institute, the Academy team, and others
  • Ensure the efficient processing of finance-related tasks, including reimbursements, payment requests from external vendors, monthly expense reports, and other related items
  • Serve as the Data Champion for the team—coordinating and communicating data updates, conduct team data review, provide basic data support and guidance
  • Provide additional ad hoc administrative support that includes but is not limited to contract processing, booking travel and hotels, sending thank you gifts, working with IT on technology issues, printing and mailing documents, troubleshooting video conference calls, coordinating mailings, maintaining listservs and contact information documents, ordering office supplies, etc.

4) We collaborate effectively with other pillars within the Global Institute and other teams across Teach For All

  • Collaborate with the Operations and Administrative Associate, Collective Learning and Consulting to manage processes around uploading resources to the Portal and Learning and Insights Hub
  • Create and manage internal and cross-team systems that enable the Academy team to collaborate effectively with other key internal and external stakeholders
  • Collaborate with the Global Institute’s Strategy and Operations Lead on key projects to enhance cross-team collaboration, coordination, and reporting across the four pillars
  • Support other projects as needed—for example, supporting logistics for the annual Global Institute Summit, to be held in April 2024 in Singapore

As the ideal candidate, you will bring:

  • Ability to thrive in a fast-paced, dynamic virtual work environment—managing a high volume of e-mail and other requests along with multiple streams of work, independently prioritize tasks, juggle competing priorities swiftly, and work effectively across a globally dispersed team environment
  • Excellent, proactive communication skills and ability to build relationships with diverse stakeholders without formal authority in a primarily virtual, global environment
  • Meticulous attention to detail and excellent organizational ability combined with flexibility and ability to navigate ambiguity
  • Demonstrates self-motivated proactivity, excellent judgment, creative problem-solving, and strong critical thinking skills

  • Experience supporting a senior staff member or team in a similar capacity strongly preferred
  • Proficiency in Zoom, Google Drive, and Microsoft Suite applications (Excel, Word, Outlook, and conducting online research for travel booking required)

Additional desirable skills/experiences (not required):

  • Familiarity with the Teach For All network and orientations toward transforming classrooms and systems
  • Full proficiency in both English and ideally at least one other language preferred

Compensation

Salary for this position is competitive and dependent on country of hire and prior work experience and includes a comprehensive benefits package.

Work Authorization

Please note, this position is not eligible for employment visa sponsorship. All candidates must possess local permanent work authorization/permit in order to be considered.

Travel and Hours

All work is delivered virtually. Travel may be required for a few trips per year to team retreats and gatherings or for specific projects. Given that we work across different time zones, some non-traditional hours for early or later calls are an expectation of this role.
