Summary
The PHEOC Senior Project Officer will play a key role in supporting the PHEOC’s (Public Health Emergency Operations Center) Project Manager in the successful execution of PHEOC operationalization project. This position is responsible for providing administrative, logistical, and operational support to ensure smooth and effective project implementation.
Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time.
Project Support:
- Assist the PHEOC Project Manager in planning, organizing, and coordinating the implementation of PHEOC operationalization project.
- Help manage project timelines, deliverables, and key milestones, ensuring that all activities align with established objectives.
- Maintain and update project schedules, budgets, and resources as directed by the Project Manager.
- Collaborate with PHEOC Project Manager and other VillageReach programs to ensure the integration of digital health solutions, such as AlôVida, into PHEOC activities.
- Support the incorporation of transportation solutions for emergency response and operational logistics to strengthen the effectiveness of public health emergency responses.
Communication and Coordination:
- Support the meeting coordination, including scheduling, preparing agendas, and taking minutes for project meetings and briefings.
- Assist with communication of project updates, milestones, and deliverables to relevant stakeholders.
Documentation and Reporting:
- Support the Project Manager in tracking project progress, collecting data, and preparing progress reports for management and stakeholders.
- Maintain project documentation, ensuring all records are up to date and easily accessible.
- Assist in preparing presentations, reports, and other documents required for project-related meetings.
- In collaboration with the PHEOC Program Manager, other relevant VillageReach team members, and key stakeholders, identify and promote best practices by researching, documenting, and sharing effective strategies in public health emergency response and PHEOC operations.
Logistical Support:
- Support the logistics for project activities, including procurement of materials, scheduling trainings, and supporting the setup and delivery of public health emergency preparedness activities.
- Support the organization and execution of training sessions, exercises, and simulations, as needed.
Risk and Issue Management:
- Assist in identifying and addressing potential project risks and issues, ensuring they are documented and communicated to the Project Manager for resolution.
- Support in mitigating challenges to keep the project on track
Business Development
- Engage in Business Development activities for the organization linked to the climate and health unit as required.
Other Duties:
- In addition, perform other tasks linked to the project or climate and health related as assigned by the Program Manager or any Senior Official (through the Program Manager) given the Matrix Management nature of the organization.
