DESCRIPTION
Summary
This Finance & Administrative Assistant will assist with finance and administrative tasks
Essential Duties and Responsibilities include the following:
- Accurate maintenance of financial records i.e. accurate and timely recording of all transactions into the accounting system.
- Keeping, maintaining and accounting for petty cash in accordance with the policy
- Timely processing of payments for suppliers and staff ensuring proper documentation for backup.
- Maintenance of asset register and ensure physical verification is done regularly
- Assist in timely preparation and submission of tax returns and pension contributions.
- Providing administrative support for the organization to ensure systems are working efficiently
- Manage office supplies and ensure timely replenishment of the same
- Handling official communication and maintaining the reception.
- Oversee routine service providers including cleaning staff, security service and ensure the cleanliness of the office
- Ensure all utilities are functional at all times and arrange for repairs for offices / office equipment if required.
- Other duties, responsibilities, and activities may be assigned from time to time.

REQUIREMENTS

Supervisory Responsibilities:
This position has no supervisory responsibilities.
Education & Experience:
- Diploma in Accounting/Administration
- 2+ years of relevant experience in a similar organization context, preferably in an NGO context
Other Qualifications:
- Established cultural competency in partnering with racial, cultural and linguistically diverse groups.
- Demonstrated understanding of challenges with working in rural, underserved and low-income context; experience living in and/or working in a low-income country a plus.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel) and comfortable in a fast-paced technical environment.
- Experience with Sage Intacct or similar package is required
- Fluency in English and Chichewa is required.
Environment and Physical Demands:
VillageReach has no private offices, employees work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences between our USA office and our Country Offices and location of other global staff, US based staff are expected to be available for early morning meetings starting at 6am. In addition, our Regional Africa based staff and Country office staff are expected to be available for late afternoon/evening meetings up to 6pm.
Approximately 60% of the workday is spent sitting. Must be able to lift 25 lbs.

Compensation & Benefits:
VillageReach has an established compensation structure that is based on the relevant market and internally transparent. The annual range for this position is $12,500 to $17,500USD. We hire people into the established range based on one’s experience and education and considering internal equity. We do not inquire about salary history.
