Summary

The Executive Assistant (EA) provides high-level administrative, organizational, and strategic support to executives, serving as a gatekeeper for calendars, travel, communications, and confidential information. Key responsibilities include coordinating meetings, preparing reports/presentations, and facilitating communication between senior leaders and stakeholders.

Description

Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time.

Calendar & Diary Management

  • Complex diary coordination across senior leaders (Country Director, Director of Programs, Director of Finance & Operations)
  • Scheduling and prioritising meetings, appointments and events.
  • Anticipating clashes and ensuring executives are prepared.

Travel & Logistics

  • Organizing domestic and international travel, including flights, hotels, visas and transfers.
  • Preparing detailed itineraries and managing last-minute changes.
  • Preparing logistics notes for international travel
  • Preparing mission orders for all travel

Communication & Gatekeeping

  • Acting as the first point of contact for internal and external stakeholders.
  • Screening calls, emails and correspondence, including inbox management.
  • Drafting responses and acting as a professional gatekeeper to protect the senior leaders’ time.

Meeting & Event Support

  • Preparing agendas, briefing packs and presentations
  • Coordinating logistics (transport, room bookings, etc) for internal and external meetings
  • Taking minutes, distributing notes and tracking action items

Document & Information Management

  • Drafting, editing and formatting reports, minutes, letters and PowerPoint presentations
  • Implementing and maintaining effective filing systems and databases
  • Ensuring accuracy of information before sharing it with the executive team and/or other stakeholders
  • Safeguarding the confidentiality of sensitive information.

Supervisory Responsibilities:

This position has no supervisory responsibilities

Education & Experience:

· Four or more years of experience in an administrative role reporting directly to upper management

· Excellent written and verbal communication skills

· Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

· Proficiency with office productivity tools and an aptitude for learning new software and systems

· Flexible team player, willing to adapt to changes and unafraid of challenges

· Ability to maintain confidentiality of information related to the company and its employees

· Experience working with NGOs

· Bachelor’s degree in office administration, Business Management, Social Sciences or related field.

Other Qualifications:

· Comply with VillageReach’s COVID-19 vaccination policy which requires full vaccination for in-person work or travel.

· Established cultural competency in partnering with racial, cultural and linguistically diverse groups.

· Demonstrated understanding of challenges with working in rural, underserved and low-income context; experience living in and/or working in a low-income country a plus.

· Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment.

· English and French proficiency preferred.

Environment and Physical Demands:

VillageReach employees typically work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences across our USA, Kenya and Country Offices and location of other global staff, we have established core collaboration hours between 6am Pacific Time and 18:00 South Africa Time (GMT+1) Monday through Thursday. All staff, regardless of location are expected to be available between these hours. During Daylight Savings Time, this allows for 12 hours per week (3 hours/day) of collaboration time and during Standard Time, 8 hours (2 hours/day). We do not hold cross-office meetings on Friday.

Hiring Process:

The hiring process will include the following steps:
