Summary

Project background

VillageReach Malawi, is looking for a Family Planning Supply Chain Project Coordinator to lead implementation of a family planning supply chain strengthening initiative towards the objectives below:

  1. Strengthen family planning commodity planning, forecasting, and quantification through the use of accurate data from existing supply chain and family planning data systems
  2. Strengthen use and improve functionality of existing FP commodity stock management Information Systems, and
  3. Build capacity of national and sub national level family planning, commodity management teams, task teams, and community structures.

The envisioned outcomes for this work include: National and district level FP commodity planning, forecasting, and quantification strengthened through use of accurate data; Family planning commodities end to end data visibility strengthened to support both planning and management processes and Targeted health workers and FP commodity management teams and structures strengthened to improve FP commodity oversight and tracking.

The contracting of this role is subject to availability of funding.

Role description

Essential Duties and Responsibilities are outlined below. Other duties, responsibilities, and activities may change or be assigned at any time.

Program Management and Program Quality (60%)

The FP supply chain Coordinator shall ensure high quality of program implementation by undertaking the following roles:

  • Lead day-to-day programmatic planning and implementation for the FP supply chain strengthening project
  • Coordinate and support the execution of project activities, working closely with technical counterparts within VillageReach Malawi, and global team members to ensure quality and timely execution of activities against defined work plans.
  • Update project work plans as agreed by the project team and provide inputs to prepare for quarterly project reviews and reporting in line with VillageReach Malawi country office schedule.
  • Under supervision of Senior Manager-Access to health products, lead and support all field work implementation at subnational level, including coordination with relevant stakeholders as needed to complete the scope of work
  • Prepare update reports for submission as required by the donor, VillageReach global team members, project Award Manager and VillageReach Malawi management.
  • Provide regular feedback to immediate supervisor and coordinate and collaborate with other VillageReach team members ensuring cross coordination and complementarity of VillageReach Malawi program activities.
  • In collaboration with Senior Manager-Access to Health Products, provide required oversight to national and district level stakeholders (if relevant), ensuring high quality delivery of planned activities

Partnership Management (10%)

  • In collaboration with the Senior Manager-Access to Health Products, build and manage relationships with the Ministry of Health, relevant District Health Offices, health facilities to ensure effective collaboration and partnership in the implementation of the project.
  • Coordinate with VillageReach’s implementing partners to ensure strong collaboration and timely completion of all projects’ deliverables.
  • Represent VillageReach at relevant HTSS and RHD technical meetings and other applicable meetings and initiatives.
  • In collaboration with the Senior Manager-Access to Health Products, develop and make effective project presentations on behalf of VillageReach to MoH, donor and INGO partners to share progress, findings and advocate for the project scale up and extension (where applicable).

Business Development (10%)

  • Collaborate with the Senior Manager-Access to Health Products to support resource mobilization for extension of the scope and time of the project or any other related work
  • Contribute to development of concept notes/proposals for new business development for VillageReach Malawi in the public health supply chain management ecosystem based on experiences and knowledge gained from the project.

Budget Management, Monitoring, Evaluation and Learning (ME&L) (20%)

  • Provide the Senior Manager-Access to Health Products with support to monitor donor programmatic and financial compliance requirements to ensure efficiency in achieving donor deliverables.
  • Comply with and support internal VillageReach program reporting cycle by presenting and submitting quarterly reports, monthly dashboard reviews, annual reports and requested program performance data on time.
  • Manage budget indicated by Senior Manager-Access to Health Products such that activities stay within allocated ceilings, and proactively communicate related concerns and solutions to Senior Manager-Access to Health Products, as needed
  • In collaboration with the Malawi Finance and Administration team and program supervisors, prepare and timely submit monthly budget projections, activity procurement requests, liquidations and updates on project performance and burn rates.

Other

  • Support implementation of other related VillageReach projects aligned to incumbent’s technical expertise.
  • Perform any other duties as may be assigned by the supervisor.

This position reports to the Senior Manager-Access to Health Products and ultimately to the VillageReach Malawi Country Director. The incumbent will collaborate and coordinate with the Senior Manager-Access to Health Products to ensure programmatic alignment and for performance reporting and monitoring. This role will also collaborate with other VillageReach Managers and with global team staff based in the Africa region and in the United States. This position will be based in Malawi.

Supervisory Responsibilities:

This position has no formal supervisory responsibilities. However, the position will provide oversight on activities especially involving district and health centre staff that interface as needed by the project.

Education & Experience:

  • Bachelors degree (or equivalent) in Pharmacy or Supply Chain management, or Public Health, or any other related field.
  • 3-5 years’ experience implementing public health supply chain programs and some experience at management level. Higher experience in Family Planning programming is desirable.
  • A proven track record of leading successful implementation of activities in the public health sector in relation to public health supply chain programming.
  • Prior experience with capacity building initiatives with government and partner stakeholders
  • Strong understanding of public health programs, global health supply chain programming and its related challenges in the Malawi context.
  • Excellent interpersonal skills to effectively communicate with cross functional teams and external stakeholders
  • Strong analytical skills and ability to make technical decisions, recommendations, and conclusions based on data.
  • Experience in implementing and monitoring and evaluating progress of programs.
  • Ability to work effectively in a busy, high-pressure and culturally diverse team environment
  • Ability to prioritize workload and demonstrate outcomes on strict deadlines
  • Strong oral and written communications skills

Environment and Physical Demands:

VillageReach has no private offices, employees work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences between our USA office and our Country Offices and location of other global staff, US based staff are expected to be available for early morning meetings starting at 6am. In addition, our Regional Africa based staff and Country office staff are expected to be available for late afternoon/evening meetings up to 6pm.

Compensation & Benefits:

VillageReach has an established compensation structure that is based on the relevant market and internally transparent. The range for this position is $34,300 to $42,500 USD. We hire people into the established range based on one’s experience and education and considering internal equity. We do not inquire about salary history.
