This is a hybrid position that requires 8 days per month in the office. You can be based in our office in London or The Hague. Existing work authorization is required at the time of application submission, as WRI is unable to sponsor any visa work sponsorship for this position. Job Highlight

In this role, you will work closely with our multi-level partnerships team at the Ross Center for Sustainable Cities to provide grants and finance management, and program administration support. You will work on complex, multi-year, multi-faceted international grants - developing and updating budgets, tracking, and monitoring expenditures, preparing financial reports, and working with project managers, partner organizations, and international offices to maintain a healthy financial system.

You will be supported by a team of project managers and finance specialists within the WRI Ross Center. You will work closely with our central finance teams including the cost and pricing team, grants and contracts team, and accounting team.

About the Program

The WRI Ross Center for Sustainable Cities is dedicated to shaping a future where cities work better for everyone. Through its network of global and local experts, the Ross Center supports city- and national-level change for people and the planet, focusing on integrated solutions to new and long-standing urban challenges, primarily in the Global South.

You will support WRI’s work on multi-level partnerships. Since launching in 2023, the Coalition for High Ambition Multilevel Partnerships (CHAMP) for Climate Action has quickly developed into a key platform for multilevel climate partnerships. With 77 endorsing countries, CHAMP aims to unlock the potential of multilevel partnerships to accelerate NDC implementation, improve access to climate finance for subnational governments, and showcase pioneering action on climate mitigation and adaptation. World Resources Institute (WRI) serves as a key partner supporting CHAMP's governance, diplomatic engagement, communications, national action and research.

What you will do:

Financial Management (60%)

  • Update and maintain multiple project budgets utilizing WRI’s budgeting and forecasting software, and Excel and Asana trackers used by the multi-level partnerships team.

  • Supports and advises project teams in preparations for and guides the implementation of the annual Cost-Planning process.

  • Responsible for multiple funding sources and a complicated donor; possible hedging and cap gaps. Prepares and coordinates on financial reports to donors independently.

  • Regularly reviews, updates, monitors, and supervises all transactions, commitments, and revenue prospects for designated team projects including monthly-close, revenue allocations, partner/grant invoices, subgrant reporting and request for payments. Tracks multiple revenue commitments independently.

  • Coordinates and advises teams monthly on budget management and supplies financial review templates grandIDs, and project line items for review with workstream director(s) and operations staff, independently.

  • Follows WRI’s internal processes and deadlines related to funding and expenses, including preparations for quarterly reviews, monthly & annual closeouts, and fiscal year forecasting.

    Grant Management (30%)

    Coordinates and processes documentation for project commitments (agreements, contracts, work authorizations, and purchase orders), independently.

    Coordinates with the project management team on guidance for partner organizations and consultants to advise them on how to comply with subgrant and contract requirements in accordance with funder policies for progress and financial reports.

    Supports donor and grants management by keeping database software (Salesforce) and SharePoint folders up to date, including proposal fundraising opportunities.

    Supports project managers to understand deliverables and reporting requirements required by donors.

Operations (10%)

  • Update and maintain new hire staffing information with operations.

    Provide timesheet guidance to team members on a bi-weekly basis.

  • Support teams with financial management for conference and event logistics as needed with project managers, including participant travel. Financial management includes processing invoices and event contracts through ECM system.

  • Coordinate recruitment and support onboarding of new financial staff members as needed.

  • Develop and complete various program, department, and organizational trackers to provide monthly updates for review with Program Directors and operations staff.

  • Assist project teams in project closeout process including turnover documentation and financial reconciliation.

What you will need:

Education: You have a completed a Bachelor’s degree in economics, finance, accounting, public policy, political science, international affairs, or similar subject required.

Experience:

  • You have experience supporting financial and/or project management functions.

  • Keen interest in the mission and work of the WRI Ross Center for Sustainable Cities.

  • Detail-oriented, highly organized individual with experience and interest in programme management, financial management and budgeting

  • Must be adaptable to rapidly changing priorities and have the ability to manage multiple projects with varying deadlines, and work independently with minimal supervision.

  • Advanced Excel skills; experience with budgeting software and Asana is highly desirable.

  • Excellent verbal and written communication skills in English, including the ability to work well in a team and with international colleagues.

Languages: You are proficient in spoken and written English

Requirements: EU work authorization is required if you want to work in The Netherlands. If you want to be based in the UK, you will need an existing right to work. WRI cannot offer visa sponsorship for this opportunity.

Potential Salary: The UK Salary range is between 38,100 and 47,700 GBP. The Hague salary range is between 45,833,000 and 57,314 Euros. Salary is commensurate with experience and other compensable factors.
