About the Role

This is a critical role where the individual will be responsible for managing priorities, streamlining executive workflows, and facilitating seamless communication with key partners and stakeholders. This position requires exceptional judgement, foresight, and the ability to operate with precision in a dynamic and fast-paced environment.

Key Responsibilities

1. End-to-End Calendar & Time Management:

  • Act as the primary and strategic manager with full ownership of managing the calendar schedules of the Founder.
  • Schedule a high volume of internal and external meetings across multiple time zones, proactively resolving all conflicts and prioritising engagements based on strategic importance.
  • Serve as the professional liaison and first point of contact for all incoming meeting requests.
  • Ensure the founder is fully briefed and prepared for all meetings, with all necessary documents and context provided in advance.

2. Travel & Logistics Coordination:

  • Plan and manage all domestic and international travel arrangements including booking flights, accommodation, ground transportation, and managing visa requirements.
  • Create detailed, user-friendly travel itineraries that account for all logistics and meeting schedules.
  • Proactively manage travel disruptions or last-minute changes with calm and efficient problem-solving approach.

3. Seamless Meeting & Event Coordination:

  • Coordinate all logistics for high-level meetings, including board meetings, donor engagements, and other meetings.
  • Prepare and distribute meeting agendas, compile and share briefing materials, and manage all technical and logistical requirements (e.g., video conferencing, room bookings).
  • Attend key meetings to take detailed notes and meticulously track all action items and follow-ups.

4. Executive & Administrative Support:

  • Draft, proofread, and manage sensitive and high-level correspondence, emails, and presentations on behalf of the Founder.
  • Handle highly confidential information with the utmost discretion and integrity.
  • Manage and process all expenses, invoices, and other administrative tasks for the Founder's office in a timely and accurate manner.
  • Provide support on special projects and strategic initiatives as directed by the Founder.

Academic Qualifications

Essential:

  • A bachelor’s degree in any discipline from a recognised university.

Professional Experience

  • A minimum of 3 years of experience as an executive assistant, directly supporting a C-level executive, preferably a founder or CEO, in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and modern collaboration tools like Google Workspace.
  • Proven experience in managing complex scheduling and high-level correspondences.
